Multi-Factor Authentication

TABLE OF CONTENTS

What is MFA?

MFA, or Multi-factor Authentication, allows you to add extra security to your account by granting access to your system only after the user provides additional evidence of their identity. This additional evidence comes in the form of a code or button from within an authentication app, email, and sometimes other methods. Authentication apps that you can use include:

Be sure to download one of these apps before starting the process below.

Please note that each individual user has the option to set up MFA on their account. Setting up MFA for one user at a business does not protect the accounts of other users at the same business.

How do I set up MFA for my account?

To set up MFA for your user account, log in to your ThinkReservations account and click "Settings" at the top right corner of your account. Next, choose “Click here” under Multi-factor Authentication.

Clicking this link takes you to a page as seen below, where you will use your phone to scan the QR code using your authenticator app. Please note that screenshots below show the process using the Google Authenticator app. It may look a bit different if you use Authy or another similar app instead.

Open your authenticator app and click the BEGIN SETUP button, then choose “Scan barcode.”

If you already have an authenticator app, a page will appear with your current connections. Just click the + sign in the upper right hand corner and scan the barcode.

Scan the barcode ThinkReservations provided you after you opted into MFA in the previous step.

Your Authenticator App will now provide you a one-time passcode like the example seen below.

You will need to enter this number into the ThinkReservations page in the field shown below, then click Continue.

Next, you will be given a master password. This is your last-resort password in case you lose your phone and cannot access your email for whatever reason. You should write this down somewhere so it can be used in an emergency.

After you copy the code, check the box and click the arrow to move on. At this point, your MFA is set-up.

Now, go back to the original tab where you started, and refresh the page as it says. Once you refresh, the MFA section will change to show that it is set up.

Logging in with MFA

Head to the ThinkReservations login page and enter your username and password like normal, then click Continue.

You will be taken to the page shown below which asks for your one-time code. Open your Authenticator app to see the current number. Note that this number expires after a certain amount of time, and will turn red just before it is going to expire, so be sure you’re using the current one on the screen of your phone/device. Enter this code and click continue, as seen below.

Logging in with MFA WITHOUT using a phone

If you do not have your phone available, you can instead click “Try another method” which will take you to the options shown below.

Choosing Email will allow you to receive an email to the username associated with the account with a one-time code to enter.

Retrieve the code from the email you received (it can only be sent to the email that is used as your login for ThinkReservations). Enter it in the box and click Continue

Choosing Recovery Code instead of Authenticator or Email will allow you to enter the master “Recovery Code” that was generated during the MFA setup process mentioned earlier. If you choose to use the Recovery Code, you will enter the code previously received, and will then be given a NEW master recovery code which you’ll need to once again save for future reference if needed. When it is copied, check the box and click continue.

The process may seem lengthy at first, but after one or two times, it becomes much quicker and will help to keep your account and the guest information and business data within it more safe and secure.

Removing MFA from your user account

Go to Settings and click "remove" under "Multi-Factor Authentication."
